HR and Payroll Consulting Company is seeking a hands-on payroll processor in a highly detail-oriented client services position. Our processing/admin staff focus on the following items:

  • Payroll processing itself. Using data obtained by identified sources, verify the data or import the data, and process the payroll according to each client's SOPs.
  • Remind clients to make their payroll deadlines if they are running behind.
  • Payroll Admin duties, pulling reports, downloading reports, saving files and back up data, etc.
  • Customer Service! Answering emails (and very few phone calls) in a timely, friendly helpful manner, pulling reports or assisting clients to maneuver in the payroll software (very light tech support - more of a tech support liaision when needed). Providing timely service, paying close attention to details, demonstrating a strong memory for multiple clients, their staff names, and their needs, and knowledge of CA payroll rules a must. Handle payroll mistakes or favors with grace and kindness, yet be firm when they overstep boundaries.
  • Project Management (each client is an ongoing project with individual needs)
  • Human Resources coordination and admin duties, such as new hire onboarding or processing terminations (creating or customizing the documents, cutting checks, etc.).

Skills required:

  • Advanced Business Conversational English skills, with professional grammar and spelling skills.
  • Extreme attention to detail
  • Math skills with fractions, decimals and basic algebra
  • Highly skilled with computer applications, tech savvy, digital storage
  • Experience being a power user with payroll and PEO services. Systems we use: ADP, Paychex, Paycom, Rippling, Gusto, Surepay, Trinet, and other various payroll processing systems.
  • Experience with ACT! (sales database), Toggl (Project management and billing software), AWS (Amazon Web Services)
  • Solid Database skills (must be able to manipulate database and software packages easily and without fear - must be a little "techie" to be efficient.)
  • Above average working knowledge with Excel (and the rest of Microsoft office suite) ... what we consider to be a Power User but not an expert or at the coder level.
  • 10-key 80 kpm with accuracy
  • Having a heart for customer service - both internal support and external support
  • Ability to work flexible hours on occasion (earlier/longer hours on payroll days required, partial days available on non-processing days). Can work as little as 30 hours with flex scheduling, or a standard 40 hours per week.
  • Work in office preferred; required during training period and during major processing days. Note - we have two offices: one in Valencia CA and one in Placentia CA.
  • May work remotely on occasion (non processing days). If remote: must have fully functioning home office set-up including, power, wi-fi, desk space in a QUIET private space with the ability with work without interruption from other household members and/or regular noises such as TV, dogs, etc. (Will provide company computer, phone app, email, and cloud based server access.) There will also be a minor stipend for work-at-home costs.

Extra skills would allow us to give you additional tasks and/or allow for a higher wage

  • Human Resources administration (file keeping, records, forms, etc.)
  • Human Resources coordination (onboarding, processing resignations)
  • Experience using MailChimp, SurveyMonkey, online time tracking portals (T-sheets, Toggl), Zoom
  • Experience with Docusign, e-signatures, etc.
  • Previously employed directly by a payroll company as customer service in payroll processing

Hourly wage DOE, but aiming for $28-40/hr to start, based on the experience and knowledge you can bring to us. Benefits include medical. dental vision, FSA, 401K, competitive PTO.
